Job Description - Sales / Inventory / Setup

Duties of this Position: Create and maintain quality relationships with clients and customers. The main role of this position will be to assist sellers throughout their experience with Prime Time Auctions. Help them understand the benefits of using the auction method to sell and advise them when they should not sell at auction. Build trust with our clients so they will see you as a trusted advisor. Be responsible for making sure seller's items are inventoried properly, accurate estimate evaluations are given, setting items up, cataloging, auction day duties, and follow-up with clients after the auction.

Experience / Abilities Required: The ideal candidate must possess good people skills, be able to work in a team environment, have a commitment to providing excellent customer service, apply common-sense, carry out detailed written and oral instructions, effectively communicate with other employees and customers, be self-motivated, and prioritize tasks. Have the ability to lift 50 lbs and stand for long periods of time.

Required: Must have a valid driver's license, be bondable and pass background check.

Hours of Work: 8:30 am - 5:30 pm 5 days a week. An average of one to two Saturdays a month will be required to work at Auctions. Tuesday or Thursday will be your day off on weeks Saturdays are required to work. Lunch / Breaks are not paid. Lunch / Breaks can be up to 1 hour. A minimum 30 minute break time off of time card is required when working more than 5 hours.

Training: The candidate will work with several different staff members and will need to be proactive in finding the information they need as the situations arise. Prior experience will be enhanced by working with our Coordinators of our 4 Major Categories: Equipment / Business, Auto / RV, Estate / Antique & Real Estate. Auction specific training will be given. Most training will be on the job.

Overtime Hours: There may be voluntary overtime work when authorized. There also may be mandatory overtime work.

Vacation: After one year with the company, full-time staff receives one week of vacation per year. After three years of full-time employment, there is two weeks per year.

Insurance: After 120 days, full-time staff receives health insurance, provided there are no other health plans available to the individual. Depending on the cost of the health plan, employee may have to share in the investment of insurance. Due to the nature of insurance and the consistent changes in cost this policy is revised two times a year. Health insurance is for the individual and the family can be added to the policy with the cost deducted from current pay, if desired. Worker's compensation insurance is carried as required by the state. No retirement program is available at this time.

Observed Holidays: New Year's Day; Memorial Day; Independence Day; Labor Day: Thanksgiving Day; Christmas Day

Pay Schedule: Payday is every Thursday. Time cards should be turned in on Monday. Time cards should show break down of time as outlined by accounting department. Time spent on individual auctions will be tracked. Overtime is after 40 hours and paid at time and 1/2. A work week is Saturday through Friday.

Responsibilities:

  • Inside Sales: Take phone calls from people interested in selling merchandise at auction. Greet walk-in customers, answer their questions, and evaluate their merchandise. The focus of this position will be our Second Saturday Community Auctions. Learn the ins and outs of what a good fit for auction is and how to qualify potential sellers. Assist clients from beginning to end of the auction process Negotiate any special arrangements and commissions. Help up sell any services such as cleaning, repairs, gas, etc.
  • Inventory: Create detailed listings of items being consigned. Convert inventory list into detailed groupings that will give potential buyers all the information they will need. Type inventories into website template. Learn and ensure proper formatting for website layout. Occasionally you will pass on written inventories to IT department for website entry. Important to follow up with Marketing and IT to ensure items are being promoted properly. 
  • Work with Accounting / Invoice Departments: Ensure proper paperwork is done for billing and payment purposes. This could be for items such as retrieval services, cleaning, gas, repairs, and any special commission arrangements.
  • Pricing: Look up book values on vehicles, some recreational vehicles, and heavy equipment. A trade in value will be taken for all vehicles. NADA / Kelley Blue Book values will be used to understand what we might get at auction and to help customers see what the retail value could be. Print out retail value sheets and put them in the windows of the newer vehicles.
  • Setup / Fork Lift: Help setup crew with storage and marking consignment numbers. Line up items for auction, organizing and staging items. Ensure fast and efficient setup. Learn what the best use of time is to maximize value. Drive Fork Lift for unloading, setup, and after auction pickup.
  • Automobile / RV Specialist: Learn the Automotive / RV industry and become an in-house authority on that industry.
  • Catalog Auction: Meet with Auction Coordinators to learn the process of cataloging. Catalog items, with the help of other Coordinators, to ensure a good flow of merchandise.
  • Customer Service: Everyone in the company is in charge of quality customer care. Whether it is having a smile in your voice on the phone or going the extra mile, every customer is important and valuable to our business.
  • Auction Day Responsibilities: Help in a variety of positions on auction day, such as ring supervisor, bid assistant, cashier, driver, security, clerk, customer service, pictures, etc. Training will be given on specific jobs as needed.
  • Flexibility to Help with Other Positions: Assistance may be required for a variety of jobs, such as changing dates on signs, ordering supplies, pickup and delivery of items, etc.
  • Teardown: Help yard staff after auction jobs as needed. Potentially assisting with putting away chairs, tables, loading, forklift operation, etc.
  • Outside Sales Growth: As time permits, our goal is to find and serve more clients who will benefit from our services. Discover who is responsible for wholesaling products in the area. Make contacts with the wholesale departments of these companies.
  • List of Clients: You will use a list of top clients to create relationships with, oversee keeping list current and adding to list. You should also be motivated to seek out new potential clients and grow our client base.
  • Loyalty Agreement: Prime Time will be training and giving you access to inside information into our industry. In the best interest of the vitality of the company you will be required to sign a non-compete / loyalty agreement, agreeing that if you no longer work with Prime Time Auctions that you will not work in a capacity that would compete with our services and for our clients.
  • Probationary Period: For all new staff there is a 120 day probationary period. The first 120 days will be a trial period to see if the skills of the person are a good fit for the position. A review will be given during or at the end of this period to decide if the position will continue to be permanent.
